What personal data we collect and why we collect it
Contact forms, emails and comments
The personal data we collect from you includes:
- questions, queries or comments you leave, including your email address if you contact us
- your email address and subscription preferences when you sign up to our email alerts
- how you use our emails – for example whether you open them and which links you click on
- your Internet Protocol (IP) address, and details of the web browser you used, which helps with spam detection
- information on how you use the site, using cookies and page tagging techniques
For users that register on our website (if any), we also store the personal information provided in the user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

We do not store your personal information through Google Analytics (for example your name or address).
We will not identify you through analytics information, and we will not combine analytics information with other data sets in a way that would identify who you are.
Who we share your data with
We will only share your data with employees, councillors and appointed representatives of and suppliers to Epping Town Council where it is necessary for the purposes of responding to comments and queries, or for maintenance of the website or the weather station.
Visitor registrations, comments and messages may also be checked through an automated spam detection service.
No personal information will be shared elsewhere without your express prior permission.
How long we retain your data
If you leave a comment or send us a message, then its content and metadata are retained indefinitely. Similarly for subscribers (if any) we retain the data provided in the user profile indefinitely.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
